AIS is growing and our Contracts Team is seeking a full time Contracts Administrator! This professional will be responsible for contract administration including costs-reimbursable, time and materials, and fixed price contracts as well as negotiating, analyzing, preparing and revising contracts. These contracts can be federal, state and local or commercial and direct to an end customer, to a prime customer or down to a subcontractor/supplier. This role will be based in our Columbia, Maryland office and requires the ability to obtain a DoD clearance.

Essential Responsibilities of the Contracts Administrator:

  • Review and execute Non-Disclosure Agreements (NDA), Teaming Agreements, Subcontractor Agreements, Task/Delivery Orders, Statements of Work, Consulting Agreements, contract modifications, representations & certifications
  • Ensures that contracts are executed in accordance with corporate guidelines
  • Review and analyze contract documents to determine contractual obligations to ensure compliance with all laws and regulations and company policies and procedures and to determine contract’s risk to the business
  • Conducts analysis of new laws, regulations and contract trends to determine potential impact on the business
  • Draft, process and manage all Subcontract Agreements
  • Possess understanding of Small Business Subcontracting requirements and manage and maintain company’s Small Business Subcontracting Plan
  • Assist in proposal responses including, responding to data calls, participating in Red Team reviews, editing documents, assisting with cost proposals and contract portions of proposals
  • Prepares requests for proposals for distribution to subcontractors/team members
  • Work with the stakeholders to ensure correct billing and collection of contractual revenues
  • Act as contract liaison between the company and customers/vendors, with regards to contract negotiations, contract changes, resolving payment issues, and contract close-outs.
  • Manage government systems such as SAM and CPARS
  • Assist in establishing/adopting a contract management system
  • Act as back-up to and assist Contract Manager
  • Conduct special projects as assigned

Profile of Success:

  • Bachelor’s degree in business required
  • Professional Certification in Contracts Management a plus (CPCM, CFCM or CCCM)
  • 3 years of experience in the preparation, administration and monitoring of contracts
  • Experience with Federal, State and Local and commercial contracts, laws and regulations
  • Failure to maintain or obtain background check requirements may result in revocation of an offer or employment action up to and including termination
  • Proficient in Microsoft Office, including Excel, PowerPoint, SharePoint, and Word
  • Ability to interface with all levels of management, work independently and in a team setting
  • Must be proficient in FAR/DFARs requirements
  • Strong negotiation experience
  • Self-management skills including ability to meet deadlines in a high pressure environment
  • Ability to work outside of normal business hours as needed, and work well under pressure
  • Have working knowledge of financial analytics and profit and loss implications
  • Exceptional mathematical abilities, and excellent analytical, strategic and reasoning skills
  • Ability to travel to branch offices or client sites to meet with business partners/clients
