AIS is currently seeking a Front Office Manager to join our corporate headquarters in Reston, Virginia! As the Front Office Manager in our corporate headquarters you will be instrumental in making that first impression to our AIS visitors, serving as a gatekeeper as well as our employee concierge!

Help Us Deliver Successful Projects!

  • Responsible for developing intra-office communication protocols, streamlining administrative procedures, and inventory control.
  • Ability to handle a variety of administrative and executive support related tasks by working independently with little or no supervision.
  • Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitored.
  • Perform travel arrangements for employees.
  • Manage relationships with vendors, service providers, and landlord.
  • Participate actively in the planning and execution of company events.
  • Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office.
  • Serve as the main point of contact for maintenance, mailing, shipping, supplies, equipment, bills and errands.

Profile of Success:

  • 5 years of office management experience, preferably with a mid-size and/or technology company.
  • Well organized, detail-oriented, flexible and enjoy the administrative challenges of supporting an office of diverse people.
  • Energetic individual, who can multi-task in a fast-paced environment.
  • Demonstrated experience with the Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook), Adobe Acrobat Pro and ability to navigate the internet for research projects.
  • Coordinate with HR, Security, Talent Team, Accounting, and IT departments as appropriate and necessary.
  • Must have own transportation and have the ability to commute daily to our Reston office and work 8:30 AM to 5:00 PM.

Other Desirable Skills:

  • Knowledge of clerical practices and procedures.
  • Proven office management, administrative or assistant experience.
  • Knowledge of office management responsibilities, systems, and procedures.
  • Ability to organize and schedule meetings and appointments.

Background Check Requirement: Ability to meet AIS, customer security screening/badging requirements are required for this role. Failure to maintain or obtain the appropriate customer screening, badging and/or background check requirements may result in revocation of an offer or employment action up to and including termination.
